Job Introduction

We have a fantastic opportunity for a Partnership Board Administrator within the Staffordshire and Stoke on Trent Adult Safeguarding Partnership Board (SSASPB). This is a key role within a small team that is responsible for supporting the smooth running and administrative functions of the board.

 

SSASPB is a multi-agency partnership that ensures local agencies and professionals in Staffordshire and Stoke-on-Trent work together to effectively safeguard adults from abuse and neglect. If you have an interest in working with a range of professionals to make a difference to the lives of adults with care and support needs, then this could be the position for you! 

 

This is a part-time job share with an existing SSASPB administrator, working together to support the Board to meet its duties and deliver it's business plans through subgroup arrangements and performance management processes. The advertised post currently covers administrative support Wednesday to Friday. 

 

The role is hybrid, with the team working remotely most of the time; there is some requirement for face to face and office attendance across Staffordshire and Stoke-on-Trent on an ad hoc basis.

Main Responsibility

 

You will:

 

  • be responsible for providing effective administrative support to the SSASP Board meetings and associated task groups
  • produce documents to a high standard of accuracy and presentation, such as agendas, reports and presentations to support the business manager and subgroup chairs
  • minute meetings and track agreed actions and updates
  • lead in diary management and coordination of meeting schedules and business plan activity
  • obtain and accurately input and manage data, contributing to maintaining performance dashboards, trackers, presentations and reports using IT applications and packages
  • have responsibility for managing the day to day financial transactions and reporting through our finance procurement system
  • deal with enquiries from public and professionals as appropriate, acting as a point of contact and escalating as required
  • support relationships between the Board, partner agencies and other organisations within a complex multi-agency environment
  • coordinate and organise conferences, events, seminars as requested
  • Contribute to raising the profile of SSASPB and safeguarding messages through newsletters, website content management etc.
  • Contribute to research and development proposals related to SSASPB policies, procedures and resources

 

The Ideal Candidate

 

The ideal candidate will have:

 

  • A minimum 5 GCSEs or equivalent, including English and Mathematics
  • NVQ Level 3 or equivalent in Business Administration, or equivalent experience working in an administrative role
  • Working knowledge of Microsoft Office applications and other systems to support administrative functions
  • Experience of minuting meetings accurately and in real time
  • Experience of data management 
  • Experience of managing/prioritising and directing own/others workload to meet agreed deadlines and outcomes
  • Well-developed communication and interpersonal skills
  • Working knowledge of or an interest in safeguarding adults
